Compare Factors Scotland operates the website comparefactors.co.uk. We provide independent comparison information about property factors operating in Scotland. When we refer to "we", "us", or "our" in this policy, we mean Compare Factors Scotland.

Information you provide directly: When you request quotes, contact us, or submit feedback, you may provide your name, email address, phone number, postcode, and details about your property or requirements.
Information collected automatically: When you visit our website, we automatically collect certain technical information including your IP address, browser type, device information, pages visited, and how you found our site. We use cookies and similar technologies to collect this data.
Information from third parties: If you request quotes through our service, we may receive confirmation from property factors about whether they've contacted you.
Contributed pricing data
When you submit pricing information through our Contribute page, we collect:
Building information: Postcode (or outward code), number of units, building age, and amenities (lift, communal heating, insurance bundling).
Factor information: Factor name (optional) to help us cross-reference with our database.
Documents: Written Statements of Service, invoices, or fee descriptions you upload or provide.
Contact details: Email address (optional) if you want to receive a personalised comparison.

We require a minimum number of submissions in any category before publishing statistics, ensuring no individual property can be identified. Your submission is combined with others to create aggregated benchmarks only.
Data retention for contributions: Uploaded documents are processed and deleted within 90 days. Extracted fee data is retained in anonymised form for statistical analysis. Email addresses are retained only if you've opted to receive updates, and can be deleted on request.

Quote requests and data sharing
When you request quotes through our service, we share your contact details and property information with property factors who operate in your area. These factors will contact you directly to provide quotes. By submitting a quote request, you consent to us sharing your information with up to three property factors.
We only work with property factors registered on the Scottish Property Factor Register. However, once we've shared your details, those factors become responsible for how they handle your information under their own privacy policies.
Quote request data
When you submit our "Get Quotes" form, we collect the following information: your name, email address, phone number (optional), postcode, number of units in your building, property type, current factor (optional), reason for switching (optional), and any additional details you provide.
We share this information with up to 3 registered property factors who serve your area, so they can contact you directly with quotes. The legal basis for this sharing is consent — you explicitly tick a consent checkbox before submitting the form.
If you are in an area we don't yet cover, we collect your postcode, email address, and current factor (if provided) as a waitlist registration. This data is stored by us and is not shared with any third party. We will only use it to notify you when our service launches in your area.
All quote request and waitlist data is stored securely via Netlify Forms and is not used for any purpose other than matching you with factors or notifying you of service availability.
You can request deletion of your quote request or waitlist data at any time by emailing us via our contact page.
Cookies
We use cookies to understand how visitors use our website and to improve your experience. These include essential cookies required for the site to function, analytics cookies to understand traffic patterns, and preference cookies to remember your choices.
You can control cookies through your browser settings. Blocking certain cookies may affect your experience on our website.
Data retention
We keep your personal information only as long as necessary for the purposes described in this policy. Quote request data is retained for up to 24 months after your last interaction with us. Analytics data is retained in anonymised form.

Under UK data protection law, you have the right to access the personal information we hold about you, request correction of inaccurate information, request deletion of your information (in certain circumstances), object to processing of your information, request restriction of processing, and data portability.
To exercise any of these rights, please contact us. We aim to respond to all requests within one month.

We take appropriate technical and organisational measures to protect your personal information against unauthorised access, alteration, disclosure, or destruction. However, no method of transmission over the internet is completely secure, and we cannot guarantee absolute security.
